Fortran Specialist Group Budget 2004-2005

Specialist Group Treasurer's Recommendations for Session 2004 - 2005

I recommend that we do the following over the next year to improve the treasury of the Group:

  1. Send a copy of the accounts for 2003-2004 with the supporting documentation to Colin Chivers in Swindon. Colin may be able to recover a small amount of VAT.

  2. Change the arrangements for the payment of expenses and the like so that they are handled by Swindon. There is a document in the file describing this.

  3. There is no need to change the arrangements for the cheque book, although it may be more practical to do so. Currently, any two of Alistair, Sam and Peter can sign to validate a cheque. Where a payment is more than £400 it also has to be seen by Colin Chivers. As we move to all payments being made by Swindon, the need for cheques will almost disappear.

  4. Change the address to which the bank statements are sent to that of the new treasurer's. (I found it took a second letter to get the address changed). I am moving home and will arrange for mail to be forwarded. Nevertheless this puts the statements at risk.

  5. Investigate the use of Internet Banking for the treasurer. This may not be possible, as it weakens the ability of the bank to verify that two of the three signatories to the account have authorized a transaction.

  6. We should plan for an application for special funding for 2005 and beyond, and ensure that we make application in good time to Swindon.

  7. We should apply for funding of general group activities, including attendance of Group Representatives at SG Assemblies in 2004 - 2005.

I have been pleasantly surprised to discover the extent of the funding extended to this group by the British Computer Society. Fortran has always had something of a British accent. However without the financial support of the BCS, we would have difficulty in maintaining that state. Fortran is far from dead, as those of us working in scientific computing know. It is good that the BCS has generously funded our activities, and I hope that it will continue to do so.

Over the past year, I have not found the task of being treasurer difficult in itself. However I have often been uncertain of the procedures. I have been helped considerably by David Muxworthy, Peter Crouch and Colin Chivers. I have appreciated their help. I would also like to thank Sam Ellis for signing and forwarding cheques and other administrative trivia in a timely manner.
